What is an operations dashboard?
An operations dashboard is a single screen that shows the live state of day-to-day work, such as orders, tickets, stock, deliveries or production, against targets, with alerts when something drifts. It answers “what needs action today?” instead of “how did we do last quarter?”. Each number has an owner, a target and a threshold that triggers a response.
- An operations dashboard is operational, not strategic: it refreshes as often as decisions are made (minutes to daily), shows 5 to 8 numbers per question and flags exceptions.
- Nine layouts cover most businesses: order fulfillment, warehouse and inventory, customer support, production, logistics, service delivery, IT operations, procurement and back-office finance.
- Every KPI below comes with its formula, a typical data source and an alert rule, so you can build the view in a day instead of debating metrics for a month.
- Power BI Pro lists at $14 per user per month paid yearly and Power BI Desktop is a free download. Metabase is free to self-host, with paid plans from $100 a month for the first five users. Prices as read on October 28, 2026.
- AI agents add three jobs on top of the dashboard: watch for exceptions, explain the cause in plain language and propose an action for a person to approve.
- CommercePundit builds dashboards and the agents that act on them, connected to your ERP, store and support tools.
What is an operations dashboard?
An operations dashboard (also called an operational dashboard) monitors work that is happening now. A warehouse lead uses it to see which orders will miss today’s cut-off. A support manager uses it to see which tickets are about to breach their response time. It is built for action: the person looking at it can change the outcome today.
| Operational dashboard | Analytical dashboard | Strategic or executive dashboard | |
|---|---|---|---|
| Main question | What needs action right now? | Why did this change? | Are we on track against goals? |
| Typical viewer | Team leads and coordinators | Analysts and managers | Executives and board |
| Refresh | Minutes to daily | Daily to weekly | Weekly to monthly |
| Time horizon | Today and this week | Months, with drill-down | Quarters and years |
| Example | Late orders and open tickets | Return rate by product and supplier | Revenue, margin and cash vs plan |
The strategic view is covered in our guides to executive dashboards and financial dashboards. This guide is about the layer underneath, where the numbers come from.
What makes a good operations dashboard?
- One question per dashboard. “Will we ship today’s orders on time?” is a dashboard. “Everything about operations” is a wall of charts.
- Five to eight numbers, each with a target and a trend. A number with no target does not tell anyone whether to act.
- A threshold and an owner for each number. When it turns red, one named person responds.
- Refresh at the speed of the decision. Stock levels may need hourly updates, while a monthly vendor review does not.
- Drill-through to the records. The late order list, not just the late order percentage.
- Show exceptions first. Sort by what is worst, overdue or at risk.
What does an operations dashboard template look like?
Whatever the function, a reusable operations dashboard template has the same four blocks. Copy this layout first, then swap in the KPIs from the examples below.
| Block | What it holds | Why it is there |
|---|---|---|
| Top row | Four to six number tiles, each with a target, a trend arrow and a red or green state | Shows in two seconds whether the day is on track |
| Middle | A trend chart for the main KPI and a breakdown by site, team, product or carrier | Shows whether a problem is getting worse and where it sits |
| Bottom | An exception list: the late, stuck or at-risk items, sorted worst first, with the owner | Turns the dashboard into a to-do list |
| Side filters | Date range, location, team and customer segment | Lets each lead see only their part |
Which operations dashboard examples should you build? 9 layouts
Each example lists the question it answers, the KPIs with formulas, where the data usually lives, and an alert rule to start with. Targets depend on your business, so treat the thresholds as starting points.
1. Order fulfillment dashboard
Question: Will today’s orders ship and arrive on time and complete?
KPIs: orders received, orders shipped same day (%), order cycle time (order placed to shipped), on-time-in-full rate (orders delivered on time and complete / orders delivered) and open backlog by age.
Data: ecommerce platform, order management or ERP, carrier tracking. Alert: any order past its ship-by time, or backlog older than one day above a set count.
2. Warehouse and inventory dashboard
Question: Are we about to run out, or sit on stock that does not move?
KPIs: days of supply (on-hand units / average daily units sold), stockout rate (SKUs out of stock / active SKUs), inventory turnover (cost of goods sold / average inventory value), inventory accuracy (counted vs system) and dock-to-stock time.
Data: inventory system, ERP, purchase orders. Alert: days of supply below supplier lead time. Our guide to ecommerce inventory management covers reorder points and safety stock.
3. Customer support operations dashboard
Question: Which customers are waiting too long?
KPIs: first response time, time to resolution, open tickets by age, SLA compliance (tickets within target / total tickets), first-contact resolution (resolved without a follow-up / total resolved) and customer satisfaction score.
Data: helpdesk. Alert: tickets within 20% of their SLA deadline, and any ticket marked urgent with no owner.
4. Production dashboard
Question: Is the line producing what it should, at the quality it should?
KPIs: overall equipment effectiveness (OEE = availability x performance x quality), first pass yield (units good the first time / units started), scrap rate, unplanned downtime hours and schedule attainment (units built vs planned).
Data: machine data, manufacturing execution system, ERP. Alert: a machine down longer than its planned stop, or first pass yield below the control limit.
5. Logistics and delivery dashboard
Question: Which deliveries are late or at risk, and why?
KPIs: on-time delivery rate, delivery exceptions, cost per delivery (total delivery cost / deliveries), carrier performance and average delivery time by lane.
Data: carrier and tracking feeds, transport system. Alert: shipments with no scan for a set time. Forecasting and routing models can reduce late deliveries over time.
6. Service delivery and project dashboard
Question: Which projects or client jobs are at risk this week?
KPIs: utilization (billable hours / available hours), tasks overdue, budget used vs work completed, delivery on time and open change requests.
Data: project tool, time tracking, finance system. Alert: budget used ahead of progress, or a milestone due in three days with open blockers.
7. IT operations dashboard
Question: Are our systems healthy, and what is broken?
KPIs: uptime (%), incident count by severity, mean time to resolve, ticket aging and failed deployments or changes.
Data: monitoring, ticketing, deployment pipeline. Alert: any severity-one incident, or uptime below the agreed level. See website monitoring tools for the checks that feed this view.
8. Procurement and supplier dashboard
Question: Are suppliers delivering, and are purchases moving through approval?
KPIs: purchase order cycle time, supplier on-time delivery, orders awaiting approval, price variance vs agreed price and invoice-match exceptions.
Data: ERP, purchasing system. Alert: a purchase order waiting for approval past its target time. The steps behind these numbers are in our purchase order process guide.
9. Back-office finance operations dashboard
Question: What is stuck in invoicing, approvals and collections?
KPIs: invoices awaiting approval, days sales outstanding (receivables / credit sales x days in period), percent past due, payments unmatched and month-end close tasks open.
Data: accounting system or ERP, bank feeds. Alert: any invoice approval older than the policy limit. Pair it with the financial dashboard for the management view.
How do AI agents make an operations dashboard act?
A dashboard shows a problem and waits for someone to notice. An AI agent connected to the same data can do three jobs on top of it:
| Job | What the agent does | Safe starting point |
|---|---|---|
| Watch | Checks thresholds continuously and flags exceptions, including patterns no fixed rule covers | Alerts only, to a named owner |
| Explain | Writes the likely cause in plain language: “12 orders are late because carrier pickup was missed at one site” | Draft explanation next to the chart |
| Act | Proposes a fix: reorder stock, reassign tickets, contact a supplier | A person approves each action before it runs |
Keep the agent read-only at first, log what it recommends, and promote it to take actions only after its suggestions prove right. Our guide to AI agents in ERP shows how this works in practice.
Which tool should you build an operations dashboard in?
| Option | Good for | Cost facts (read October 28, 2026) |

How do you build an operations dashboard in 5 steps?
- Pick the question and the owner. Choose the decision the dashboard supports and the person who makes it.
- List the five to eight numbers that answer it, with formulas and targets written down.
- Connect the data from the system of record, not from exports, and agree what counts as a late order or an open ticket.
- Set thresholds and alerts that go to the owner, not to a shared inbox.
- Review it weekly for a month, remove numbers nobody uses and add the one that was missing.
What mistakes make operations dashboards fail?
- Too many charts. If everything is highlighted, nothing is.
- No definitions. Two teams count “on time” differently and argue about the number instead of the problem.
- Stale data. A dashboard that refreshes daily cannot run an hourly decision.
- No owner or threshold. A red number nobody must answer is decoration.
- Built from manual exports. It breaks the first time the person who updates it is away.

Frequently Asked Questions
What is an operations dashboard?
An operations dashboard is a single screen that shows the live status of day-to-day work, such as orders, tickets, stock, deliveries or production, against targets, with alerts when something drifts. It is built for action today, not for quarterly review.
What is the difference between an operational dashboard and a strategic dashboard?
An operational dashboard monitors work in progress and refreshes in minutes or daily so teams can act now. A strategic dashboard tracks progress against goals over weeks, months or quarters for executives. Operational views feed the strategic ones.
What KPIs should an operations dashboard include?
Pick five to eight that answer one question. Common ones are on-time-in-full rate, order cycle time, days of supply, stockout rate, first response time, SLA compliance, OEE, uptime and purchase order cycle time. Each needs a formula, a target and an owner.
How often should an operations dashboard refresh?
At the speed of the decision it supports. Stock and support queues may need minutes or hourly updates, shift-level production data may refresh each shift, and vendor or project reviews can refresh daily or weekly.
How many KPIs should an operations dashboard have?
Five to eight per dashboard is a practical limit. More than that hides the exceptions. If you need more numbers, build a second dashboard for a second question and link them.
Can I build an operations dashboard in Excel?
Yes, for a small team with one data source. It becomes fragile when several systems feed it or when it needs live alerts. At that point a BI tool such as Power BI or Metabase, or a custom build, is safer.
What is OEE?
Overall equipment effectiveness measures how well a machine or line is used. It multiplies availability (time running vs planned), performance (speed vs ideal) and quality (good units vs total units). A line that runs 90% of the time, at 95% speed, with 98% good units has an OEE of about 84%.
What is a real-time operations dashboard?
It is a dashboard that updates as events happen, usually through a live connection to the source system rather than scheduled exports. Real time matters for decisions that cannot wait, such as late shipments or system outages.
How can AI improve an operations dashboard?
AI agents can watch the data for exceptions, explain the likely cause in plain language and propose an action for a person to approve. Start read-only, log the suggestions and give the agent more responsibility only when it proves reliable.
Who should own the dashboard?
The person who makes the decision it supports, not the person who builds it. The builder keeps the data connections working, while the owner keeps the definitions, targets and thresholds honest.
Bottom Line
A good operations dashboard asks one question, shows five to eight numbers with targets, and tells one named person when to act. Start with the layout that matches your biggest daily headache, write the formulas down, connect the live data and add AI watching and explaining once the numbers are trusted.
